# Creating and sending a quote (test)

Create your first quote based on the survey and send it to your own email address. Check that everything is correct before you go live.

Now that you've created a test case file with an inventory, you're going to create the quote. The system automatically fills in the lines based on your package and survey. You check that everything is correct.

## Step 1 - Creating the quote

Go back to the case file and click **Create quote**.

### What happens automatically

The system automatically fills in the quote lines based on: - The **package** linked to the case file - The **inventory** from the survey (volume, quantities) - The **services** you selected

## Step 2 - Check the quote lines

Go through each line:

| Line | Check |
| --- | --- |
| **Removal costs** | Does the amount match the cubic volume and your rate? |
| **Administration costs** | Is the correct fixed amount shown? |
| **Box service** | Is this line shown (if you selected the service)? |
| **Disassembly/reassembly** | Is this line shown (if you selected the service)? |
| **Lines you did NOT select** | Are these NOT shown? (if "ignore zero lines" is enabled) |

### Making changes if needed

You can manually adjust amounts, quantities and descriptions. Test this too: change an amount and check that the total updates correctly.

Click **Save draft**.

`Tip:` Check the **PDF preview** of your draft quote. Does the layout look right? Is your logo displayed correctly? Are the variables correct (your name, your address)? Is there no unwanted white space? This is the moment to spot any issues.

## Step 3 - Sending the quote to your own email address

If the draft quote looks correct:

1. Click **Send quote**
2. The system sends an email to the address you entered for the customer (your own email address)
3. The case file status changes to **Sent**

### Check your inbox

Open your email and find the quote message. Check:

| What | Check |
| --- | --- |
| **Email received?** | Yes/No (also check your spam folder) |
| **Subject** | Is the email subject correct? |
| **Branding** | Logo, colours, badges - does it look professional? |
| **Text** | Is the text correct? Are the variables correct? |
| **PDF attachment** | Is the quote attached as a PDF? |
| **Acceptance link** | Is there a link to view and sign the quote? |

`Note:` Not receiving an email? Check your spam folder. Not in spam either? Check that the customer's email address has been entered correctly.

## Step 4 - Accepting the quote

Now you're going to accept the quote - exactly as your customer will do shortly.

1. Click the **acceptance link** in the email
2. You'll land on the acceptance page where you can:
3. View the quote (scrollable)
4. Turn optional lines on or off (if you have an interactive quote)
5. See the price update based on your choices
6. Add your **digital signature** (with your finger on your phone/tablet, or with your mouse on desktop)
7. Click **Accept**

### What happens next

- You receive a **confirmation email** (if you have the "Customer accepted" message switched on)
- A **task** appears in the system: "Customer accepted"
- The case file status changes to **Accepted**

Go back to Bas and check that the status has changed. Do you see the "Customer accepted" task in your task list?

`Tip:` Also test acceptance on your phone. Many customers open the quote on their mobile. Does the signature work well on a small screen?

## Tips

- **Check the PDF preview first.** This lets you see whether the layout is correct before you send it.
- **Test on multiple devices.** Check the acceptance link on desktop, phone and tablet.
- **Check all the variables.** Is your name correct? Your address? The customer details?

## Please note

- **Check your spam folder.** Some email systems mark automated messages as spam.
- **Test the signature.** Does it work well on a touchscreen and with a mouse?
- **Check the status change.** After acceptance, the case file should move to "Accepted".
