# Features: Mobile app and time types

Set up what employees see in the app, when the schedule is available, how scanning handling units works, and which time types are used for automatic time recording.

On the **Settings > Process > Features** page, you'll find the settings for the Bas Medewerker App and the default time types. In this article we cover the **Mobile app** and **Default time types for automatic recording** sections.

Go to **Settings** > **Process** > **Features** to view and adjust these settings.

## Section: Mobile app

These settings determine what employees can see and do in the Bas Medewerker App.

---

### Colleagues can see each other's details

**What it does:** If this is on, employees can view their colleagues' contact details in the app (name, phone number).

| Setting | What happens |
| --- | --- |
| **On** | Employees can see each other's phone numbers in the app |
| **Off**(recommended) | Colleagues' contact details aren't visible |

**Our advice:** Turn this **off**

### Make the accepted quote visible to the employee

**What it does:** If this is on, employees (removal crew, foremen) can view the signed quote via the app. They'll then see the prices and agreements made with the customer.

| Setting | What happens |
| --- | --- |
| **On** | Employees can view the quote with amounts |
| **Off** (recommended) | Employees only see the job sheet, without amounts |

**Our advice:** Most companies choose **off**. Price information is sensitive and leads to unnecessary discussions. Employees don't need the prices to do their job well. The foreman can view the job sheet with the agreed services, without the amounts.

### Mandatory scanning of handling units

**What it does:** If this is on, employees must scan every handling unit (box, crate, piece of furniture) in the app before loading or unloading it.

| **On** | Employees must scan every item with the app |
| **Off** (default) | Scanning is optional |

**Our advice:** Leave this **off** during onboarding. Mandatory scanning is a big change to your removal crew's way of working. Only introduce this once your team is used to the app and understands the scanning process well.

### Days in advance to make the schedule available to employees

**What it does:** Determines how many days in advance employees can see their schedule in the app.

**Default value:** 2 days

| Value | What the employee sees |
| --- | --- |
| **1 day** | Only tomorrow's schedule |
| **2 days** (default) | Schedule for the day after tomorrow |
| **7 days** | Schedule for the coming week |
| **14 days** | Schedule for the coming 2 weeks |

**Our advice during onboarding:** Keep it at **2 days** or set it to **14 days** to test extensively. After go-live, **2 days** is a good compromise: the schedule is up to date and employees can plan a day ahead.

`Tip:` If you have a lot of last-minute changes, keep it at 1-2 days. The further ahead the schedule is visible, the greater the chance that employees are looking at outdated information.

### From what time will new appointments become visible?

**What it does:** Determines the time at which new schedule changes become visible to employees in the app.

**Default value:** 16:00

**Example:** If you change a schedule at 08:00 and this is set to 16:00, the employee won't see the change in the app until 16:00.

**Our advice:** Keep this at **16:00** or adjust it to the time at which your planner finalises the schedule for the next day.

### Minutes earlier to be at the warehouse before the removal

**What it does:** Determines how many minutes before the departure time employees need to be at the warehouse. The system shows this in the app. We always round this to the nearest quarter of an hour in favour of the departure time.

**Default value:** 5 minutes

**Our advice:** 5 minutes is sufficient. This gives employees just enough time to load the van and depart.

### Show appointments for entering hours after this date

**What it does:** Determines from which date employees can enter their hours in the app. Appointments before this date are no longer shown for time recording.

**Default value:** Set this to the date you go live with Bas (or the start date of your onboarding).

**Our advice:** Set this to the date you started with Bas. This prevents employees from trying to enter hours for appointments that were still in the old system.

## Section: Default time types for automatic recording

These settings determine which **time type** is automatically assigned to activities in time recording. The system automatically records what an employee is doing (driving, moving, reassembling, etc.) and links the correct time type to it.

### Available time types

| Time type | What it means |
| --- | --- |
| **Working** | Productive work time |
| **Driving** | Travel time to and from the customer |
| **Warehouse** | Work time at the warehouse/office |
| **Rest time** | Break or leave (non-productive) |
| **Reassembly** | Specific: reassembling furniture |
| **Disassembly** | Specific: disassembling furniture |
| **Loading** | Specific: loading storage |
| **Unloading** | Specific: unloading storage |
| **Packing** | Specific: packing service |

### Default mapping

Below is the full list of activities and the recommended time type:

| **Travel time type** | Driving | Time travelling to and from the customer |
| **Time type at office/warehouse** | Warehouse | Work time at the fixed location |
| **Other time type** | Working | All other activities |

| **Sick leave time type** | Working | Sick hours are recorded as work time |
| **Field work** | Working | Activities outside the warehouse |
| **Office work** | Working | Activities at the office |
| **Break** | Rest time | Lunch break, coffee break |
| **Rubbish removal** | Working | Removing rubbish after the removal |
| **Removal** | Working | The removal itself |
| **Placing parking suspension signs** | Working | Placing parking suspension signs |
| **Handover** | Working | Handover after the removal |
| **Collecting parking suspension signs** | Working | Collecting parking suspension signs |
| **Lending out employees** | Working | Loaned out to another company |
| **Working at the warehouse** | Warehouse | Storage work, preparation |
| **Reassembly** | Reassembly | Putting furniture together |

**Our advice:** The default mapping is set up well. Only adjust this if you want to record a specific time type differently. The mapping determines how hours are categorised in reports.

## Tips

- **Start with the default settings.** The mapping is set up logically. Only adjust it if you have a specific reason to.
- **Quote visible to employees = a deliberate choice.** Discuss this with your team. Some foremen want to know what's been agreed, while other companies specifically don't want this.
- **Introduce mandatory scanning later.** This is a big change. Let your team get used to the app first before making scanning mandatory.

## Please note

- **Making the schedule available too far in advance** means employees are looking at a schedule that may still change. After go-live, 1-2 days ahead is usually enough.
- **Setting time types incorrectly** leads to inaccurate time reports. If "Break" is set to "Working" instead of "Rest time", breaks are recorded as productive hours.
- **Not setting the date for time recording** can cause employees to see old appointments and try to enter hours for them.
