Problem
You want to create a new quote for an existing customer, but it's not working. You can't create a new quote in the system, even though you'd expect to be able to.
Conditions
This problem only occurs if a quote has previously been sent for this customer.
Cause
Bas Software prevents you from having multiple active quotes at the same time for the same job. If a previous quote has the status Sent or Accepted, you must first deal with it before you can create a new one.
Solution
Situation 1: The quote has only been sent (not yet accepted)
Step 1: Go to the job and open the existing quote.
Step 2: Click Decline quote.
Step 3: Go back to the survey. You can now create a new quote.
Result: A new draft quote is ready for you to fill in and send.
Situation 2: The quote has been accepted and the job has a status
⚠️ Please note: This situation is more complex. Follow the steps carefully.
First check the job status:
Does the job have the status Customer accepted, Scheduled, Move, Aftercare or Completed?
Then you must cancel the job first.
Step 1: Write down all moving appointments and planning.
⚠️ Warning: when you cancel a job, all linked moving appointments disappear. So write these down carefully first!
Step 2: Go to the job file and click Cancel job.
Step 3: Can't find the job any more? Enable the Cancelled filter. Cancelled jobs are hidden in search results by default.
Step 4: Open the cancelled job and click Reopen job.
Result: The job is now active again and all basic details have been restored (but you'll need to enter the planning again).
Step 5: Go to the survey on the device you were working on.
Step 6: Open the survey again.
Result: You'll now see a new draft quote that you can fill in and send.
Summary: Two important rules
💡 Rule 1: A quote must never have the status Accepted if you want to create a new one. First cancel the quote and the job.
💡 Rule 2: Does the quote only have the status Sent? Then you only need to decline the quote and you can create a new version.
Frequently asked questions
Q: The surveyor wants to create a new quote after an initial estimate, but it's not working. What now?
A: This happens if the initial estimate has already been sent. First decline the existing quote via the job, then the surveyor can draw up a new quote.
Q: I've lost my moving appointments after cancelling. Can I get them back?
A: No, cancelled appointments disappear permanently. That's why you should always write down all planning first before cancelling a job. After reopening, you can schedule the appointments again.
Q: Where do I find the filter for cancelled jobs?
A: At the top of the jobs list, you'll find filter buttons. Click Cancelled to make cancelled jobs visible.
