Setting up a quote template

Set up your quote template with the drag-and-drop editor. Learn how to add blocks, use variables and give your template a professional finish.

Document templates determine how your quotes, invoices and work orders look. Your quote template is your company's calling card - every customer who receives a quote sees your template.

Bas uses a drag-and-drop editor that lets you create professional templates without any technical knowledge. You drag blocks onto your document, fill in variables (such as customer name or quote number) and adjust the styling to match your branding.


Step 1 - Opening templates

Go to Settings > Working method > Document templates. You'll see an overview of all available templates. Click on the quote template and then on the pencil icon to open the editor.


Step 2 - Understanding the editor

The editor consists of three parts:

Desktop and mobile view

At the top of the editor, you can switch between Desktop and Mobile view. Most customers view quotes on desktop, but always check that the mobile version looks good too.


Step 3 - Adding blocks

Drag blocks from the right-hand menu onto your canvas. The most important blocks:

Note: Always use the QUOTE LINES block for your price table. NEVER a manual table. The QUOTE LINES block automatically pulls the data from the case file and keeps everything in sync.


Step 4 - Using variables

Variables are dynamic fields that are automatically filled in with data from the case file. Think of the customer name, the address or the quote number.

Inserting variables

  1. Click in a text block where you want to place a variable

  2. Click Variables in the toolbar (dropdown button)

  3. Choose a category (Identity, Customer, Quote, or Move)

  4. Select the variable

The variable appears as ####{{ quote.loadAddresses|trans }} in your text. This is automatically replaced with the real value when the quote is generated.

Available variables

Identity (your company details): - Address - Company name - VAT number - Email - IBAN - Company registration number - Logo - Mobile number - Phone number

Customer (customer details): - Salutation - Last name - Company name - VAT number - Email - Billing contact - Invoice address (with sub-variables) - Main contact (with sub-variables) - Customer number

Quote: - Quote number - Reference - Total incl. VAT - Expiry date - Free text fields

Move: - Case file number - First move appointment date - First move appointment time - Loading address (with sub-variables) - Last move appointment date - Last move appointment time - Unloading address (with sub-variables) - Notes for the customer

Tip: The variable names are in English in the editor, but the OUTPUT is in Dutch. ####{{ quote.loadAddresses|trans }} shows "Laadadres: Voorbeeldstraat 10, 1234 AB Amsterdam" in the generated PDF.


Step 5 - Adjusting the styling

Select a block to adjust its settings. You can change:

Text styling

  • Font and size

  • Bold, italic, underline

  • Text colour

  • Alignment (left, centre, right)

Colours

  • Background colour of blocks

  • Text colour

  • Border colour

Spacing

  • Padding (inner space around the text)

  • Margin (outer space between blocks)

  • Container width (width of the block)

Images

  • Upload your logo

  • Adjust the size

  • Set the alignment

  • Add a link (optional)

Note: For your logo, preferably use an SVG (vector file) or a PNG with a transparent background of at least 300x300 pixels. SVG stays sharp when printing and scales perfectly.


Step 6 - Configuring lines

The QUOTE LINES block has special options:

In the right-hand panel, you set: - Always hide line totals: Hide or show the total column per line - Always hide quantity: Hide or show the quantity column

Optional lines

Some quote lines can be marked as Optional. This means the customer can tick or untick this line in the online quote. This is useful for upselling (e.g. "Disassembly/Reassembly per hour - Optional").

Tip: Optional lines increase your chances of upselling. The customer immediately sees what extra services cost and can select them themselves.


Step 7 - Saving and testing the template

After editing:

  1. Click Save

  2. Go to a test case file (or create one with fictional details)

  3. Generate a quote for that case file

  4. View the PDF preview

Check in the preview

  • Are all variables filled in correctly? (no ####{{ quote.something }} visible)

  • Does the layout look right on page 2 onwards?

  • Are the QUOTE LINES displayed neatly?

  • Is the logo size and position correct?

  • Are the colours in line with your branding?

  • Are there no unwanted blank spaces?

Note: The editor shows sample data ("Jan Jansen", "Voorbeeldstraat 1"). This is dummy data. For a real case file, this is automatically replaced with the actual customer details.


Headers and footers

The header (top) and footer (bottom) of your template appear on every page. These usually contain your logo, company details, company registration number, VAT number and IBAN.

You can create a simple header yourself by adding a COLUMNS block at the top of your template containing your logo and company details. For more complex headers (e.g. with SVG elements or advanced styling), you can ask for help during onboarding if needed.

Note: Do not put your IBAN on the quote. If the IBAN is on the quote, customers sometimes pay straight away based on the quote instead of waiting for the invoice. This causes administrative hassle. Only include the IBAN on your invoice template.


Copying a template

Want to create a new template similar to an existing one? Use the "Based on" feature when creating a new template. This copies the layout, structure and style. You then only need to adjust the text.

This is useful for: - A separate quote template for commercial moves - An English-language version - A template for specific services (e.g. storage)


Online quote vs. PDF

The quote your customer receives can be viewed in two ways:

How it works

Online quote

The customer opens the quote via a link in the email. This is a continuous one-pager without page breaks. Here the customer can turn optional lines on/off.

PDF quote

The quote as a downloadable PDF file with fixed A4 pages.

Note: Styling that looks good in the online view can break at an awkward point in the PDF (e.g. a table split halfway across two pages). Always test both views for this reason.


Quote expiry date

You set an expiry date for every quote. This is the date until which the quote is valid.

Tip: Set a short expiry date, for example 1 week. A short expiry date increases your success rate: customers feel a sense of urgency and respond faster. The customer can, incidentally, still sign after the expiry date - the system doesn't block this. The expiry date works as a psychological nudge.


Tips

  • Use the QUOTE LINES block for your price table. NEVER a manual table - it won't stay in sync with your case file.

  • Test with a real scenario. Create a test case file with multiple quote lines and view the PDF.

  • Supply your logo as an SVG. This gives the sharpest results in the PDF.

  • Keep your text short. Customers don't read three pages. Refer to your terms and conditions.

  • Preview across multiple pages. Generate a long test quote and check that pages 2 and 3 look good.

  • Dummy data is normal. The editor shows sample data. This is automatically replaced during real use.

  • Use optional lines for upselling. Customers can tick or untick services themselves.

  • Set a short expiry date. A week works better than a month.


Note

  • The QUOTE LINES block is mandatory. Manual tables become out of sync with your case file.

  • Variables have English names in the editor, but show Dutch text in the output.

  • Always test before going live. Generate a test quote and view the PDF.

  • Online and PDF can differ. Test both views - page breaks sometimes work out differently.

  • Logos as PNG sometimes disappear on page 2+. Use SVG for reliable display on all pages.
