Introduction / Purpose
Welcome! In this guide, we'll show you step by step how to set up revenue groups in Bas Software. This sounds technical, but it's actually very simple: you tell Bas Software how you want to group your services (e.g. "residential move" vs "storage"), so your staff can easily select the right general ledger account when creating invoices, and your revenue automatically goes to the right place in your accounting package.
Why is this useful? Properly set up revenue groups ensure that:
👍 Your staff create invoices faster and without errors
👍 You automatically get insight into which services generate the most revenue
👍 Your accounts are accurate, with no more hassle with your accountant
Time: ±5 minutes | You'll need: Login details for Bas Software + basic knowledge of your services (residential, commercial, storage, etc.)
Let's get started! 🚀
Overview of steps
This article covers:
Step 1: Understanding what revenue groups are (and why you need them)
Step 2: Deciding which revenue groups you want
Step 3: Creating revenue groups in Bas Software
Step 4: Checking your settings
Step 1: What are revenue groups? (and why you want them)
The idea
Imagine this: you're creating an invoice and you add an invoice line for "move". But which move? Residential or commercial? With storage or without?
Revenue groups help here. They're labels with which you say: "This is a residential move" or "This is storage" or "These are boxes". Your staff member can then simply choose the right label when invoicing, instead of entering technical numbers.
Why is this important?
Each revenue group is linked to your accounting package (for example Exact Online or Yuki). So when your staff member selects "Residential storage", Bas Software automatically knows: "This needs to go to general ledger account 8002 in our accounts."
💡 In simple terms: Revenue groups = the bridge between what you and your staff understand, and what your accounting package needs.
Step 2: Which revenue groups do you want?
Now comes the first choice: What are your standard services?
This depends on your business. Below are two examples:
Example 1: Small removal company (START HERE)
Start with at least these 4 revenue groups:
Residential move — standard moves for private individuals
Commercial move — moves for businesses
Residential storage — storage space for private individuals
Commercial storage — storage space for businesses
This is enough to get started. If you later find that you need more of a split, simply add them.
Example 2: Larger business (MORE COMPREHENSIVE)
If you have more services and want separate insight, add:
Warranty certificates — for example 5-year packages (you want to see separately: how many do we sell?)
Permits — e.g. for Amsterdam moves (high cost item, monitor separately)
Rubbish removal costs — waste removal and similar (variable, track separately)
Disassembly work — specific services (invoiceable separately)
Packing materials — sale of boxes, bubble wrap, etc.
⚠️ Note: Start with the basic 4. You can always add more later. Don't split things up too much from the start — that makes it more complicated for your team.
💭 Ask yourself:
"Where do I want separate insight?"
Do you want to know: how much do I earn from warranty certificates? → Split it off!
Do you want to know: how much do I pay for permits? → Split it off!
Do you want to know: how many boxes do we sell? → Split it off!
Write down your choice. (Not required, but it helps!)
Step 3: Creating revenue groups
Now let's actually do it. ✨
Where do you find this in Bas Software?
Navigation: Click in the menu on the left: Settings → Working method → Revenue groups
You'll now see a screen showing all your revenue groups (or nothing yet if you've just started).
Adding a revenue group
Click the button
+ Add revenue group(top right)Fill in:
Name: Type the name of your revenue group. For example:
Residential move⚠️ TIP: Use words that you and your team understand! Not: "Art. 9b 21%", but: "Residential move"
Click
Save
Done! ✅ Your first revenue group has been added.
Example: What it looks like
Enter name: [Residential move] [Save] [Cancel]And then you'll see in your list:
✅ Residential move
Repeat this for all revenue groups
Follow the same steps for your next groups. So:
+ Add revenue group→ Type:Commercial move→ Save+ Add revenue group→ Type:Residential storage→ Save+ Add revenue group→ Type:Commercial storage→ Save(Add more if you're doing the extended version)
💡 TIP: Work quickly! This is easier than you think. You'll usually have these 4 basic revenue groups entered in 2 minutes.
Step 4: Check your settings
Nice work! 👏 Now let's check that everything is correct:
Go back to
Settings → Working method → Revenue groupsCheck your list:
Are all the revenue groups you want included?
Are the names correct? (Clear enough for your team?)
If yes → you're done with this part! 🎉
What happens now?
Your revenue groups are now set up. Later, when your staff member creates an invoice or sets up a package, they can easily select one of these groups.
Next step in the workflow: Later, when you connect your accounting package (Exact Online, Yuki, etc.) to Bas Software, you'll link your revenue groups to your general ledger accounts. But we'll cover that in a different article — for now, you're done!
Frequently asked questions
Q: Can I change revenue groups later?
A: Yes! You can change, add or delete them at any time.
Q: How many revenue groups should I have?
A: Start with the basic 4. Add more if you find you need them (e.g. after your first invoices).
Q: Do I need to link a revenue group to my accounting package now?
A: No, we'll do that later when you set up your accounting integration. Only the name is needed for now.
Tip & Success! 💚
👍 You've now set up your revenue groups! This means your staff will soon be able to invoice much faster and without errors.
Bonus tip: Make sure your team knows which revenue groups exist. A short memo or Slack message ("As of today, we're using these revenue groups:") helps!
