When you go live, you switch all your integrations from test to live. This is one of the most critical steps: if an integration is left in test mode, everything appears to work but nothing actually happens behind the scenes. This article walks you through all the integrations you need to check.
Step 1 - Finalising notifications
This is one of the most important steps. Bas sends 13+ automated emails to your customers. If these go out at the wrong time, you have a problem.
When you go live, turn everything off except these two:
Notification | Why it's on |
Quote sent | The customer needs to receive the quote |
Invoice sent | The customer needs to receive the invoice |
You can choose to enable the remaining notifications step by step:
When | Which notifications |
After 2-4 weeks | Survey confirmation, removal approaching, box collection reminder |
After 1-2 months | Quote reminders, invoice reminders, warranty certificate |
Check before going live:
Is the branding correct? (logo, colours)
Is the wording correct? (salutation, company name, contact details)
Are the correct time slots included? (morning/afternoon for box delivery)
Has the Mollie payment button been added to the invoice notifications?
Is the BCC address correct? (for a copy to your own mailbox)
Tip: Some companies choose not to turn on the "appointment change" notification in the early stages. Otherwise, every small adjustment to the schedule - swapping a crew member, shifting a time by 15 minutes - immediately sends a message to the customer. This isn't common practice, but it can be useful while you're still getting used to scheduling.
Step 2 - Turning OFF Mollie test mode
This is one of the most common mistakes when going live. If Mollie's test mode is still on, everything appears to work: customers pay, and you see the payment in the system. But no money actually comes in. Everything gets 'paid', but nothing happens in your bank account.
Step by step:
Go to Settings > Integrations > Mollie
Check that test mode is switched off
Check the payment button in your invoice email: does it point to the correct (live) payment environment?
Please note: Do this check on the day you go live, not before. If you switch Mollie back to test mode in the meantime for a practice session and forget to switch it back, you'll end up with exactly the problem you're trying to avoid.
Tip: Mollie iDEAL reduces the average payment time from 16 days to 1.2 days. At some companies, 40% of customers already pay via the payment button. So make sure this works before you go live - it's one of the quickest ways to improve your cash flow.
Step 3 - Adjusting the accounting integration start date
While practising, you've probably sent test invoices to your accounting software (Exact Online, Snelstart, Yuki or AFAS). You don't want those test invoices in your real accounts. The solution is simple: adjust the start date of the accounting integration.
How it works:
Go to Settings > Integrations > [your accounting software]
Change the start date to your go-live date (for example, 1 February)
Everything created before that date (test invoices) is ignored by the integration
Only invoices from the start date onwards are sent through to your accounts
Why this matters: If you forget to do this, your test invoices will end up in your real accounts. That causes hassle with your accountant and extra work to correct it.
Tip: Time your go-live to coincide with the start of a new month or quarter. That way you immediately have a clean accounting period and clean financial reporting.
Please note: Do this before you send your first real invoice. Also let your accountant know, so they're aware of the date from which invoices will start coming in from Bas.
Step 4 - Checking the Schouten Zekerheid integration
If you offer warranty certificates through Schouten Zekerheid, the integration needs to be set up correctly. Check the following points:
Is the API integration active?
Is the correct insurance premium set up?
Is the certificate request automatically sent after approval?
Test this by creating a practice case file, requesting a warranty certificate, and checking that the request arrives at Schouten Zekerheid.
Tip: If you only want to start offering warranty certificates later, you can skip this integration for now and activate it later.
Step 5 - Testing the website/lead integration
If you have a lead integration (for example via your website or a quote request form), check that new enquiries come through correctly in Bas.
Test the process:
Fill in a test enquiry on your website
Check that the lead arrives in Bas
Check that all fields have been copied across correctly (name, address, phone number, email)
Create a quote from the lead and check that everything is correct
Please note: If the integration doesn't work properly, new enquiries won't reach Bas. That means missed jobs. So test this thoroughly before going live.
The correct order for activating integrations
Follow this order when going live:
Step | What | When |
1 | Turn off notifications (except quote/invoice) | Before data import |
2 | Adjust accounting integration start date | Before the first real invoice |
3 | Switch Mollie from test to live | On the day of going live |
4 | Check Schouten Zekerheid integration (if applicable) | Before going live |
5 | Test website/lead integration | Before going live |
Tips
Let your accountant know the start date of the accounting integration. That way they know from when invoices will come from Bas and can prepare the books accordingly.
Check all notifications for branding and wording before you go live. It looks unprofessional if a customer receives an email with the wrong logo or placeholder text.
Test the website/lead integration with a real enquiry, not only in a test environment. Sometimes it works in test but not in production.
Please note
Forgetting to turn off Mollie test mode is the most common mistake. Everything appears to work, but no money comes in. Check this on the day you go live.
Not adjusting the accounting integration start date means test invoices end up in your real accounts. Adjust this before sending your first real invoice.
Not checking the payment button in the invoice email can mean customers are sent to a test environment. Send a test invoice to yourself and click the payment button to check.
Turning on the "appointment change" notification in the early stages sends an email to the customer for every small scheduling change. Only turn this on once your scheduling is stable.
