Daily flow for the removal crew

This article describes how the removal crew uses the app during a normal working day. From checking the schedule in the morning to completing the job.


Step 1 - Checking the schedule in the morning

The crew member opens the app and sees which job(s) are scheduled for today. The app shows the coming 7 days ahead (this is currently a fixed value; it will become configurable in future).

Per job he sees: - Which team he's working with - Which vehicle is scheduled - The departure time - The loading address and unloading address

Everything filled in at the office against the case file is visible here.

Tip: The better you fill in the case file at the office, the fewer questions the crew will have. Fill in all the instructions and materials properly, so the crew knows exactly what they need.


Step 2 - Navigating to the address

Tap the loading address or unloading address to open navigation directly.

The app opens Google Maps or Apple Maps, depending on what's on the phone. The crew member can navigate straight away without retyping the address.

This works for both the loading address and the unloading address.


Step 3 - Viewing job information

Tap the job for all the details.

You see: - Instructions (third floor with no lift, piano, particulars) - Materials list (what to bring from the warehouse) - Documents (inventory list, survey photos, floor plan) - Team members - Customer details (name, phone)

Note: The app deliberately shows no financial information. No quote amounts, no rates, no financial details of the customer. This is a deliberate choice.


Step 4 - Recording materials

The foreman records which materials were used on a job.

This covers: - How many boxes were left with the customer - Which extra materials were used (blankets, tape, protective covers)

The materials list in the app is meant for extras, not the vehicle's standard equipment.

Tip: You don't need to record the moving blankets, dollies and straps that are standard in every vehicle. It's about the extras that vary per job.


Step 5 - Uploading photos

Crew members can take and upload photos from the app.

This is handy for: - Damage recording (photo of pre-existing or new damage) - Proof of delivery (photo of the situation after unloading) - Particulars (a narrow staircase, a parking problem)

The photos are linked to the case file straight away and are visible at the office.

Tip: If you have surveyors use a tablet, get one with a SIM card. Uploading photos in basements or with poor WiFi only works with mobile data.


Step 6 - Reporting damage

Damage reports are an important part of the app. There are two types:

Pre-existing damage (on arrival): Photograph any pre-existing damage to the customer's belongings on arrival. This protects you if a claim comes in later.

Newly occurred damage (during or after the job): If something gets damaged, report it straight away.

Open the job in the app. Go to Report damage. Choose whether it's pre-existing damage or newly occurred damage. Take photos of the damage. Add a description. Save.

Note: If a damage report comes in marked "newly occurred damage", a task is automatically created for the damage team at the office.


Step 7 - Customer signature

At the end of the job, the foreman has the customer sign on the phone screen.

Open the job in the app. Choose Signature. The customer signs on the screen. Confirm and save.

The signature is linked to the case file and is visible at the office. This replaces the paper job sheet.

Tip: Signing on a screen is intuitive. It's the same as signing a paper slip. Even older customers can manage this just fine.


Step 8 - Payment on site (optional)

If you've activated Mollie, the foreman can have the customer pay on site via iDEAL.

Open the job in the app. Choose Pay. The system shows the invoice amount. The customer scans the QR code or opens the payment link on their own phone. The customer pays via iDEAL. The payment is registered in the system immediately.

Tip: Mollie iDEAL reduces the average payment time from 16 days to 1.2 days. At some companies, 40% of customers already pay via the iDeal button.


What the employee does NOT see

The app deliberately shows no financial information:

  • No quote amounts or rates

  • No financial details of the customer

  • No back-office functionality

This is a deliberate choice. The removal crew don't need to know what the customer is paying.


Time recording in the app

The foreman records four times per employee per job:

Moment

What's recorded

Departure time

Departure from the warehouse or starting point

Start time at customer

Arrival at the customer

End time at customer

Departure from the customer (loading or unloading finished)

End time at warehouse

Back at the warehouse or end point

There must be at least 15 minutes between each time. The times are rounded to the nearest quarter of an hour.

Note: The system blocks entering hours for the previous day. This is a deliberate choice to prevent fraud. If a correction is needed, the office has to do this.


Tips

  • Employees can look 7 days ahead in the app

  • Everything you fill in at the office against the case file is visible in the app

  • Uploading photos works best with mobile data (not just WiFi)

  • The digital signature is just as valid as paper


Please note

  • Crew members only see jobs they're assigned to

  • Uploading photos with poor coverage (basements) only works once there's a connection again

  • Material recording is for extras, not standard equipment
