Many removal companies carry out jobs for other removal companies. You receive an order by email, carry out the job, and invoice based on actual hours and agreed rates. This works differently from private jobs.
Step 1 - Setting up a package per client company
Create a separate package with the agreed rates for each removal company you work for.
Go to Settings > Packages
Click on New package
Give it the name of the company (e.g. "Removal Company XYZ")
Set:
Type of work: Hourly basis (actuals)
Rates: Excluding VAT
Invoice type: Business invoice
Ignore lines with zero: On
Step 2 - Entering rates as invoice lines
Add the agreed rates as invoice lines in the package.
Examples:
Description | Unit | Rate |
Removal crew member | Per hour | EUR 50.00 |
Box lorry | Per day | EUR 155.00 |
Box lorry kilometres | Per kilometre | EUR 0.60 |
Furniture hoist | Per day | EUR 125.00 |
Enter the whole list of rates. Lines you don't use are automatically removed from the invoice.
Step 3 - Creating a business customer
Create the removal company as a business customer.
Go to Customers > New customer
Choose Business
Enter the company details (name, address, VAT number)
Add contact persons (invoicing, removal coordinator)
Step 4 - Creating a case file without a quote
For jobs from fellow companies, you don't create a quote. The price is determined afterwards.
Click on New removal > Existing customer
Look up the removal company
Enter the loading and unloading address
Select the correct package
Choose No quote needed
Enter the reference number from the client company (e.g. the end customer's name or order number)
The case file goes straight to "Customer approved". You can schedule it immediately.
Step 5 - Filling in the schedule
Open the case file
Go to Schedule
Fill in: number of employees, volume, expected number of hours
Schedule the event (date, start time, shift)
Assign employees and a vehicle
Step 6 - Execution and recording
Your employees carry out the job via the app. They record: - Start and end time - Breaks - Mileage - Anything noteworthy
The system automatically saves everything for invoicing.
Step 7 - Invoicing on actual hours
Afterwards you create the invoice based on actual hours and quantities.
Open the case file
Click on Draw up invoice
Enter the actual quantity per invoice line:
Number of hours per employee
Number of kilometres
Number of cubic metres (if applicable)
Click on Prepare
Check the draft invoice
Click on Send
Lines you haven't used (quantity = 0) are automatically removed from the invoice.
Tips
Create a separate package per client company with their specific rates
Always enter the reference number (end customer's name or order number)
Use "No quote needed" when creating the case file
Invoice based on approved hours, not estimated hours
Please note
VAT must be set to exclusive (business customers)
No quote for this type of job (the price isn't fixed in advance)
Entering the reference number helps when looking up case files later
Approved hours determine the invoice
