For physical storage management, you use labels with QR codes. This article explains how to print labels, scan QR codes and search your storage.
Step 1 - The right printer
The recommended printer is the Dymo 5 XL.
This printer works directly with Bas. You don't need to install any separate software. The printer is specially designed for large labels with QR codes.
Don't have a Dymo printer yet? That shouldn't hold you back. A simple temporary solution: write the number on the container or crate with a marker pen. The important thing is that every unit has a unique, recognisable number. Once you have the labels, replace the handwritten numbers with QR labels.
Step 2 - Printing a label from the WMS
Go to WMS > the relevant unit. Select Print label.
The system generates a label with: - QR code (unique per unit) - Name or number of the unit - Customer details (if linked)
Print the label and stick it on the container or crate.
The label is now ready to be scanned.
Step 3 - Scanning the QR code with the Bas Medewerker app
With QR codes on your storage units, you can quickly carry out actions in the Bas Medewerker app.
Action | What you do |
Scan | Open the app and scan the QR code. You immediately see which customer it belongs to and what the status is |
Check-in | Scan the QR code to confirm that the items have been placed in this unit |
Check-out | Scan the QR code to register that the items have been taken out. The system automatically updates the status |
Move | Scan the QR code and register the new location. This keeps your WMS always up to date |
The crew member doesn't need to know which container belongs to which customer. They scan the QR code and the system shows all the information.
Step 4 - Filling storage (check-in)
Check-in is the moment when the customer's belongings go into storage.
Create a case file for the customer (or use an existing one). Link the storage units to the case file. Enter the rate and check-in date for each unit. Set the invoicing frequency.
Schedule the check-in as a job (loading at the customer's, unloading at the warehouse). The warehouse address is automatically used as the unloading address. You don't need to fill this in manually.
The crew member carries out the job via the app. Register the check-in in the WMS (update the status). Print a QR label and stick it on the container or crate. Take photos of the contents if needed.
Please note: Never fill in the warehouse address manually as a loading or unloading address for storage customers. This happens automatically when you link storage to the case file. If you do it manually, the address will appear twice.
Tip: Always record what goes into the container at check-in. If a dispute about the contents arises later, you'll have proof.
Step 5 - Emptying storage (check-out)
Check-out is the moment when the customer collects their belongings.
Schedule the check-out as a job (loading at the warehouse, unloading at the customer's new address). Register the check-out in the WMS (update the status). The system automatically calculates any credit note if the invoicing period is still running. Draw up the final invoice. The unit is available again for a new customer.
Step 6 - Searching your storage
With QR codes and the WMS, you can quickly search your storage.
Search by customer name: Type in the customer's name. The system shows all units linked to this customer.
Search by unit number: Type in the container number or crate number. The system shows which customer it belongs to.
Search by location: Type in the location (row, bay, floor). The system shows all units at that location.
This only works if you've set up the structure properly and stuck the labels on correctly.
Tips
Always stick labels on a visible spot on the container or crate
Test the QR code after sticking it on to check that it can be scanned
Take photos of the contents at check-in (proof for any later disputes)
Keep a stock of labels by the printer so you don't run out in the middle of a job

The Dymo 5 XL is the recommended printer, but handwritten numbering also works as a temporary measure

Without QR labels, you can still search by unit number, but it's slower
