On the Settings > Process > Features page, you'll find all the settings that determine how Bas works. In this article we cover the Quote, Jobs and Quote calculation sections.
Go to Settings > Process > Features to view and adjust these settings.
Section: Quote
These settings determine how the quote is presented to the customer.
Include inventory list
What it does: Determines whether the inventory list (all furniture and goods registered by the surveyor) is included as an attachment to the quote.
Option | What happens |
Always (recommended) | The inventory list is always included with the quote |
Only for accepted quotes | The inventory list is only included with quotes where the package has the accepted status. |
Never | The list is never attached |
Hourly basis | The inventory list is only included with quotes where the package has the hourly basis status. |
Our advice: Choose Always. This provides transparency. The customer can check that everything has been recorded correctly and knows exactly what they're paying for.
Tip: This is a default setting, but you can override it per job. If you don't want to include the inventory list for a specific removal, you can adjust this in the case file.
Hide the PDF on the acceptance page
What it does: If you turn this on, the quote PDF is not shown on the acceptance page — only the first 3 pages are. The customer then only sees the acceptance button, without being able to read the full quote.
Setting | What happens |
Off (recommended) | The customer sees the quote PDF on the acceptance page |
On | The PDF is hidden, the customer can't read the quote |
Our advice: Leave this off. Customers must be able to read the full quote before signing. If you hide the PDF, the customer can't check what they're accepting. This leads to confusion and possible disputes afterwards.
Force full PDF on the acceptance page
What it does: For long quotes (more than 3 pages), the system may shorten the display. With this setting, you force the full quote to always be shown.
Setting | What happens |
On (recommended) | The full quote is always shown, regardless of length |
Off | For long quotes, the display is shortened |
Our advice: Turn this on. This way the customer always sees the full quote before signing.
Section: Jobs
These settings determine how new jobs are created.
Start with scheduling the intake for a new job
What it does: Determines what the system asks for first when creating a new case file.
Setting | What happens |
On | The system first asks you to complete the intake (customer conversation, requirements, special circumstances) |
Off (default) | The system first asks for the removal date |
Our advice: This depends on your process. If you normally call the customer first to establish their requirements, turn this on. If customers usually already have a date in mind, leave it off.
Description always as the first tab
What it does: Determines which tab is open by default when you open a case file.
Setting | What happens |
On | The "Description" tab is always open first |
Off (default) | The appointment tab in the case file is shown first |
Our advice: Leave this on, unless you always want to see the job's appointment details first.
No boxes delivered by default
What it does: Determines whether the "deliver boxes" option is switched off by default for new jobs.
Setting | What happens |
On | For new jobs, "deliver boxes" is off by default |
Off (default) | For new jobs, "deliver boxes" is on by default |
Our advice: Leave this off if you deliver boxes by default for a removal. Turn it on if you usually don't deliver boxes (for example, for commercial removals).
Section: Quote calculation
These settings determine how Bas calculates the quote. The system uses the values you enter here to automatically calculate the time estimate and price.
Include company address in the km calculation
What it does: Calculates the full route including your company address (warehouse).
Setting | Calculation |
On (recommended) | Warehouse > loading address (A) > unloading address (B) > back to warehouse |
Off | Only A > B |
Our advice: Turn this on. Most removal companies have their employees depart from the warehouse. With this setting, you get a realistic picture of the total mileage and travel time.
Cubic metres per employee per hour (average)
What it does: The average number of cubic metres an employee can process per hour. The system uses this figure to calculate the time needed for the removal.
Default value: 1.2
Example: A removal of 36 cubic metres with 3 employees: - 36 cubic metres / (3 people x 1.2 cubic metres per hour) = 10 hours of removal time
Tip: This is an average. In practice, this varies per situation (floor, distance to the removal van, type of furniture). Start with 1.2 and adjust based on your own experience.
Boxes packed per hour
What it does: The number of boxes an employee can pack per hour. Used to calculate the time for the packing service.
Default value: 10
Boxes unpacked per hour
What it does: The number of boxes an employee can unpack per hour. Used to calculate the time for the unpacking service.
Default value: 10
Minutes to reassemble per piece of furniture (or per door)
What it does: The average time to reassemble a piece of furniture. The system multiplies this by the number of items to be reassembled.
Default value: 15 minutes
Minutes to disassemble per piece of furniture (or per door)
What it does: The average time to disassemble a piece of furniture. The system multiplies this by the number of items to be disassembled.
Default value: 15 minutes
Tips
Start with the default values. The default settings are based on what works for most removal companies. Only adjust what you deliberately want to do differently.
Always including the inventory list = transparency. Customers appreciate knowing exactly what has been included in the quote.
Cubic metres per employee per hour is a guideline. After a few weeks of working with Bas, you can adjust this figure based on your own performance.
Please note
Don't hide the PDF on the acceptance page. If customers can't read the quote before signing, this leads to confusion and complaints.
Force the full PDF. Without this setting, the system may shorten long quotes, meaning the customer doesn't read everything.
Reassembly and disassembly times are per item. If a cabinet takes 15 minutes and there are 10 cabinets, the system calculates 150 minutes. Check whether this is realistic for your situation.
