The work schedule determines when an employee is available in the planning. If you don't set the work schedule, the employee appears on all days in the planning - including their days off. You don't want that.
Contract types in Bas
Before setting the work schedule, it's good to know which contract types Bas has. The contract type determines how the employee appears in the planning.
Contract type | When to choose | Example |
Fixed hours | Employee with a permanent contract and fixed hours | Full-time mover, 40 hours per week |
Payroll / Agency | Self-employed contractors working via partner companies, agency workers | Agency staff, hired in via another removal company |
Variable | Zero-hours contract, on-call staff, temporary staff | Weekend on-call staff, seasonal employee |
Tip: Have an on-call worker with a zero-hours contract? Enter them as variable with zero hours. This way the employee doesn't appear in the planning by default, but you can still schedule them manually when needed.
Step 1 - Opening the work schedule
Go to HRM > Employees and click on an employee. Find the Work schedule section.
Hover your mouse over the work schedule block and click the pencil icon. You'll now see an overview of the days of the week.
Step 2 - Setting availability per day
For each day, fill in whether the employee works, and if so, from what time to what time.
Example 1: Full-time employee (40 hours)

Step 3 - Setting even/odd weeks (optional)
Do you work with employees whose schedule alternates? For example four days one week, five days the next? Then use the even/odd weeks work schedule type.
How does even/odd work?
The system determines whether it's an even or odd week based on the week number: - Even week (week 2, 4, 6, etc.): schedule A - Odd week (week 1, 3, 5, etc.): schedule B
Example: employee works every other Friday

Step 4 - Setting a custom schedule (optional)
Do you have an employee with a very irregular schedule? Then use custom. You can then indicate per week or period when someone is available.
This is useful for: - Employees who have a different schedule every month - Employees with rotating shifts - Seasonal employees
Tip: Start with standard or even/odd. Custom is only needed for complex situations. Too many custom schedules make your planning cluttered.
Step 5 - Saving and checking
Click Save. The work schedule is now active.
Check that it's correct by going to the Planning. You'll now only see the employees who are available that day according to their work schedule.
Note: A work schedule that hasn't been filled in means the system thinks the employee is available every day. This gives you a cluttered planning. Take the time to fill this in correctly for every employee.
Why is the work schedule important?
Without a work schedule:
Employee appears on all days in the planning
Even on days off, holidays, weekends
Planning becomes cluttered
You could accidentally schedule someone on a day off
With a work schedule:
Employee only appears on working days
Planning is clear
You immediately see who is available
You can't accidentally schedule someone on a day off
Tips
Always fill in the work schedule. Without a work schedule an employee appears on all days in the planning, even on days off. That makes your planning cluttered.
Start simple. Use standard schedules where possible. Even/odd and custom are only needed for irregular situations.
Check in the planning. After setting the schedule, check in the planning whether the employee appears on the correct days.
Adjust for changes. If an employee goes part-time or changes schedule, don't forget to update the work schedule.
Note
Not setting the work schedule causes the employee to appear on the wrong days in the planning. Take the time to fill this in correctly per employee.
Starting too complex with custom schedules makes your planning cluttered. Start simple and expand where needed.
Forgetting to adjust for a contract change. If someone goes from full-time to part-time, the schedule needs to change too.
Entering times incorrectly (e.g. 16:00 - 07:00 instead of 07:00 - 16:00) causes errors in the planning.
