The skills and roles you link to an employee determine what that person can see and do in Bas. This is an important part: choose carefully which skills and roles you assign.
Step 1 - Selecting skills
Go to HRM > Employees and click on an employee. Find the Skills section and select the skills that apply to this employee.
Skills for the employee app (front office)
Skill | What this employee can do | Who gets this |
Mover | Sees jobs in the app, can log materials and enter hours | All movers |
Foreman | Everything a mover can do + can start and complete jobs, have the customer sign, report damage, take payment via the app | The person in charge on the job |
Packer | Can see packing and unpacking work in the app | Packing staff |
Handyman | Can see disassembly and reassembly work in the app | Fitters |
Hoist operator | Can operate the furniture hoist via the app | Hoist operator |
Warehouse staff | Can carry out warehouse tasks via the app and back office (WMS) | Warehouse staff |
Estimator | Can carry out surveys via the app and back office | Estimators, surveyors |
Skills for the back office (office)
Skill | What this employee can do | Who gets this |
Administration | Full access to the back office. Sees incoming leads and quote confirmations in the mailbox | Office staff, owner |
Planner | Full access to the back office, can schedule | Planner, owner |
Step 2 - Applying combinations
An employee can have multiple skills. The owner of a small company is often administration, planner and foreman at the same time. An estimator usually also has the mover or foreman skill.
Examples of combinations:
Role | Skills | Why |
Owner of a small company | Administration, Planner, Foreman | Does everything: office, planning and jobs |
Foreman with surveying | Foreman, Estimator | Can survey and lead jobs |
Warehouse worker | Warehouse staff, Mover | Works in the warehouse and sometimes helps on jobs |
Skills vs. roles in the planning
There's an important difference between skills and roles in the planning:
Skills determine what an employee can do in the app and back office
Roles in the planning determine in which role someone is scheduled on a job (e.g. as foreman, mover or packer)
The planner can always place an employee in a role, even if that employee doesn't have the corresponding skill. For example: a mover without the "foreman" skill can still be scheduled as foreman. The system gives a warning in that case, but doesn't block it.
The skills therefore serve as guidance for the planner. You're warned if you assign someone to a role they don't have the skill for, but you can always override it if the situation calls for it.
Tip: Don't give the foreman skill to everyone. The foreman is the person who completes the job, has the customer sign, and reports damage. If everyone is a foreman, you no longer know who filled in what. Schedule one foreman per job.
Skills and email notifications
Skills determine not only what an employee can do, but also which email notifications they receive. An employee with the "Administration" skill, for example, gets notifications about incoming leads and quote confirmations.
Tip: Is an employee receiving unnecessary email notifications? Check which skills have been assigned. Removing a skill that's no longer relevant also stops the corresponding email flow. This prevents an overflowing inbox.
Step 3 - Assigning roles
In addition to skills, Bas also has roles that grant access to specific features. You view and change roles via HRM > Employees. Click on an employee and you'll see which roles are active under the Roles heading.
Role | What you get |
Employee | Standard role, no extra features |
Administrator | Can grant roles to employees, access to all features |
HR manager | Access to the CLA feature |
Data analyst | Access to the data dashboard |
Who gets which role?
Role | Role assigned | Why |
Owner | Administrator | Full control over all features |
Office manager | Administrator | Can assign roles to others |
HR employee | HR manager | Access to the CLA module |
Finance employee | Data analyst | Access to reports |
Movers | Employee | Standard access via app |
Note: Only give the Administrator role to people you fully trust. An administrator can change all roles and use all features.
Step 4 - Setting contract hours
Also fill in the contract hours per week for the employee. This is important for: - The capacity calculation in the planning - Hours registration (actual vs. contractual) - Possibly later the HRM module (leave, overtime)
Contract | Contract hours | Example split |
Full-time 40 hours | 40 | Mon-Fri 8 hours per day |
Part-time 32 hours | 32 | Mon-Thu 8 hours, Fri 0 hours |
Part-time 24 hours | 24 | Mon-Wed 8 hours per day |
Example: a typical staff base
Below is an example of how skills and roles could be divided:
Name | Skills | Role | Contract |
Mark de Vries | Foreman, Mover | Employee | Permanent 40h |
Sandra Bakker | Administration, Planner | Administrator | Permanent 40h |
Pieter Jansen | Mover | Employee | Permanent 40h |
Ahmed El Amrani | Mover, Handyman | Employee | Permanent 32h |
Jeffrey Kamters | Foreman, Estimator | Employee | Permanent 36h |
Note that not everyone is a foreman. Only the people who actually lead jobs have this skill.
Tips
Be restrictive with the Foreman skill. Only the people who actually lead jobs should be foreman.
Only give Administrator to trusted people. An administrator can change all settings.
Combine skills where it makes sense. An estimator is often also a mover, a warehouse worker sometimes helps on jobs.
Always fill in contract hours. This is important for the capacity calculation and hours registration.
Note
Too many foremen means you no longer know who completed the job and who had the customer sign.
No skills assigned means an employee can't see or do anything in the app. Don't forget to assign skills.
Leaving unnecessary skills in place causes unnecessary email notifications. Remove skills that no longer apply to limit the mail flow.
Administrator for everyone is a security risk. Only give this role to people you fully trust.
Contract hours not filled in causes problems in the capacity calculation and hours registration.
